Introduction

Vervoe is a cloud service that predicts job performance using skills assessments that showcase the talent of every candidate.

We understand that you are aware of and care about your own personal privacy interests, and we take that seriously. This Privacy Notice describes Vervoe’s policies and practices regarding its collection and use of your personal data, and sets forth your privacy rights. We recognize that information privacy is an ongoing responsibility, and so we will from time to time update this Privacy Notice as we undertake new personal data practices or adopt new privacy policies. How we collect and use (process) your personal information

Vervoe collects personal information about its website visitors and customers. The personal data transferred concern the following categories of data subjects: 

  • Employees of the Customer / Data Exporter
  • Other personnel of the Customer / Data Exporter
  • Website visitors

Data Subjects may upload, submit or otherwise provide certain personal data, the extent of which is typically determined and controlled by the user in its sole discretion, and could include but is not limited to the following types of Personal Details, including:

  • Individuals’ first and last name 
  • Email address 
  • Telephone number 
  • Location Information, including 
    • IP address 
    • Location 
    • GPS coordinates 
  • Personal appearance, including 
    • Video 
    • Voice recordings 
  • Digital identity, including 
    • Passwords
    • Browser type 
    • Web cookies/beacons/pixel history 
    • Log data 
  • Device identifier Data related to job candidates and prospects

We collect and use this information for as long as reasonably required in order to provide customers with our services, which may include:

  • assessing a Jobseeker’s attributes against an Employer’s requirements;
  • connecting potential Jobseekers with Employers;
  • retaining information that will make your subsequent visits to the Site smoother and your access quicker;
  • monitoring performance metrics of the Site, such as total number of visitors, user demographics, website traffic, user preferences, etc;
  • improve, test, and monitor the delivery of our Services;
  • diagnosing and fixing technical issues;
  • developing and testing new or updated products and features;
  • preventing, detecting, investigating and mitigating fraudulent activities.

Some assessments may involve automated decision-making to evaluate candidate suitability. These decisions are not solely automated and are reviewed by a human before final employment decisions are made.

We do not sell personal information to anyone and only share it with third parties who are facilitating the delivery of our services.

Vervoe collects personal information either directly from customers via our web application or directly from visitor to our webpage

We process your personal data under the following legal bases:

  • Consent: for optional features like marketing newsletters.
  • Contractual necessity: for delivering our services.
  • Legal obligation: for complying with applicable laws.
  • Legitimate interests: for internal analytics and service improvement (balanced against your rights).

We may occasionally obtain your personal information from third-party sources, but only when they have your consent or are otherwise legally permitted or required to share it with us.

 

Use of the Vervoe Website

As is true of most other websites, Vervoe’s website collects certain information automatically and stores it in log files. The information may include internet protocol (IP) addresses, the region or general location where your computer or device is accessing the internet, browser type, operating system and other usage information about the use of Vervoe’s website, including a history of the pages you view. We use this information to help us design our site to better suit our users’ needs. We may also use your IP address to help diagnose problems with our server and to administer our website, analyze trends, track visitor movements, and gather broad demographic information that assists us in identifying visitor preferences.

Vervoe has a legitimate interest in understanding how members, customers and potential customers use its website. This assists Vervoe with providing more relevant products and services, with communicating value to our sponsors and corporate members, and with providing appropriate staffing to meet member and customer needs.

 

Cookies and tracking technologies


Vervoe provides an accessible cookie opt-in/opt-out banner, along with a comprehensive cookie policy that describes the cookies and tracking technologies used on the Vervoe website and explains how users can manage their preferences.

 

Sharing information with third parties

The personal information Vervoe collects from you is stored in one or more databases hosted by third parties. These third parties do not use or have access to your personal information for any purpose other than cloud storage and retrieval. On occasion, Vervoe engages third parties to send information to you, including information about our products, services, and events. We also engage a number of trusted third-party service providers (“subprocessors”) to support the delivery and functionality of our services. These subprocessors perform activities such as hosting and infrastructure, customer support, email and in-app communications, usage analytics, session tracking, video processing, and customer relationship management. All subprocessors are contractually bound by Data Processing Agreements (DPAs) to ensure the protection and proper handling of personal data in compliance with applicable data protection laws. Subprocessors are primarily based in the United States, unless otherwise agreed in the customer’s Sales Order. We provide at least 30 days’ notice before onboarding any new subprocessor that will process personal data.

We do not otherwise reveal your personal data to non-Vervoe persons or businesses for their independent use unless: (1) you request or authorize it; (2) it’s in connection with Vervoe-hosted and Vervoe co-sponsored conferences as described above; (3) the information is provided to comply with the law (for example, compelled by law enforcement to comply with a search warrant, subpoena, or court order), enforce an agreement we have with you, or to protect our rights, property or safety, or the rights, property or safety of our employees or others; (4) the information is provided to our agents, vendors or service providers who perform functions on our behalf; (5) to address emergencies or acts of God; or (6) to address disputes, claims, or to persons demonstrating legal authority to act on your behalf. We may also gather aggregated data about our services and website visitors and disclose the results of such aggregated (but not personally identifiable) information to our partners, service providers, advertisers, and/or other third parties for marketing or promotional purposes.

 

International data transfers

By using Vervoe’s services, you acknowledge that your personal data may be transferred to and processed in countries other than the country in which you are resident. Unless otherwise requested or required by local law some of the personal information we collect may be processed in the United States, where our trusted service providers or certain systems are based.

The United States has not received an adequacy decision from the European Commission under Article 45 of the General Data Protection Regulation (GDPR). In accordance with Article 46 of the GDPR, Vervoe ensures that appropriate safeguards are in place for such transfers by implementing binding standard contractual clauses that are enforceable by individuals in the European Economic Area (EEA) and the United Kingdom. These clauses have been updated to align with guidance from the European Data Protection Board and will be revised as new model clauses are finalized.

Depending on the context, Vervoe may also transfer personal data to the U.S. based on your consent, the necessity of performing a contract with you, or where the transfer is in Vervoe’s legitimate interests—provided those interests do not override your fundamental rights and freedoms.

Vervoe is committed to applying robust safeguards to protect your personal data, ensuring it is used in line with your relationship with us and the principles outlined in this Privacy Statement. Where applicable, Vervoe enters into data processing agreements and incorporates standard contractual clauses with vendors to reinforce data protection.

Since our founding, Vervoe has not received any government requests for access to personal data.

Consumer and Data Subject rights

The European Union’s General Data Protection Regulation (GDPR), as well as the California Consumer Privacy Act (CCPA), and several other US states and countries’ privacy laws provide certain rights for data subjects. Vervoe honors the following consumer and Data Subject rights under GDPR include the following:

  • Right to non-discrimination

This Privacy Notice is intended to provide you with information about what personal data Vervoe collects about you and how it is used. 

If you wish to confirm that Vervoe is processing your personal data, or to exercise one of the rights listed above with respect to having access to the personal data Vervoe may have about you, please contact us.

You may also request information about: the purpose of the processing; the categories of personal data concerned; who else outside Vervoe might have received the data from Vervoe; what the source of the information was (if you didn’t provide it directly to Vervoe); and how long it will be stored. You have a right to correct (rectify) the record of your personal data maintained by Vervoe if it is inaccurate. You may request that Vervoe erase that data or cease processing it, subject to certain exceptions. You may also request that Vervoe cease using your data for direct marketing purposes. In many countries, you have a right to lodge a complaint with the appropriate data protection authority if you have concerns about how Vervoe processes your personal data. When technically feasible, Vervoe will, at your request, provide your personal data to you.

Reasonable access to your personal data will be provided at no cost. If access cannot be provided within a reasonable time frame, Vervoe will provide you with a date when the information will be provided. If for some reason access is denied, Vervoe will provide an explanation as to why access has been denied.

Alternatively, if you are located in the European Union, you can also have recourse to the European Data Protection Supervisor or with your nation’s data protection authority.

In order to verify your identity when making the request, please include the following information:

  • Name
  • Email Address
  • Nature of your request (i.e. access, correction, deletion, etc.)

We may send you an email to the specified email address asking you to verify your request and ownership of the email address. If you are requesting deletion we may request an additional identity verification such as a response to a previously defined security question or verification of a third data point.

Vervoe will not discriminate against any consumers who exercise their data privacy rights. 

Consumers may authorise an agent to make a data access request on their behalf. Agent requests shall include the information listed above, as well as a letter of authorization signed by the consumer. Please note that when making a request through an agent, consumers’ will still need to verify their identity according to the process described above.

 

Data storage and retention

Your personal data is stored by the Vervoe on its servers, and on the servers of the cloud-based database management services the Vervoe engages, located in Australia and or the United States and or Europe. Vervoe retains service data for the duration of the customer’s business relationship with the Vervoe and for a period of time thereafter, to analyze the data for Vervoe’s own operations, and for historical and archiving purposes associated with Vervoe’s services. Vervoe retains prospect data until such time as it no longer has business value and is purged from Vervoe systems. All personal data that Vervoe controls may be deleted upon verified request from Data Subjects or their authorized agents. Children’s data

The Site is not intended for or targeted at children under 13, and we do not knowingly or intentionally collect information about children under 13.
